Position Title:  Patron Services Coordinator

Reports To: Patron Services Manager

Job Classification: Full-Time, Exempt

Salary Range: $50,000 – $60,000

General Purpose of Position

The front-facing Patron Services Coordinator is responsible for managing the Old Masonic Hall storefront and Gallery, providing exceptional guest service to orient visitors to arts activities available in the Breckenridge Arts District. The Patron Services Coordinator will serve as the manager on duty whenever the Patron Services Manager is not present or is unavailable. An ideal candidate will demonstrate an outgoing, helpful attitude and possess a personal interest in the arts to set the tone for all creative experiences on campus. This position also supports marketing efforts to increase visibility in the community, attract new patrons and engage current patrons. The position requires an ability to navigate multiple online and software systems, excellent communication skills, and a team-minded attitude.

Principal Duties and Responsibilities

The Patron Services Coordinator is a key member of the Patron Services team and assists in the scheduling of part-time staff across BreckCreate venues. This position reports directly to the Patron Services Manager and collaborates regularly with the Programs Coordinator and Arts Education Manager.

Arts District Support

• Maintain marketing materials on the Arts District Campus (brochures, catalogs, posters, door signs, etc.) and provide meaningful feedback to optimize the OMH storefront for marketing purposes. Distribute marketing materials to businesses and community partners in Summit County.

• Monitor rotating exhibitions in Old Masonic Hall. Track visitor attendance and log visitor engagement. Recognize potential safety threats to the gallery and report them to Facilities Manager + Lead Preparator. Threats could be a ceiling leak, acts of vandalism, visitors attempting to touch or pick up a piece not meant for handling, etc.

• Maintain a clean and organized workplace and storefront, abiding by all Public Health guidelines.

• Cultivate professional relationships with visiting artists, instructors, Patron Services Specialists, and Studio Techs to ensure effective operations.

• Provide on-site support for special event operations, such as opening receptions, and other duties, as assigned.

Guest Services

• Manage the front desk of BreckCreate’s gallery, currently located at 136 Main Street, Breckenridge, CO. This requires in-person hours Tuesday-Saturday. Greet guests, accept packages, and ensure the gallery is kept organized, clean, and presentable at all times.

• Maintain consumable office supplies and equipment across all BCA venues.

• Provide excellent customer service and information to every visitor who enters Old Masonic Hall, setting the standard for all guest-facing employees. Respond to guest inquiries (walk-in, telephone, email) in a courteous, consistent, and timely manner. Answer questions about current and upcoming programs such as exhibitions, artists-in-residence, workshops, and performances.

• Assist with artist orientation, hospitality, and administration for exhibiting artists and artists-in-residence.

• Become proficient in all aspects of Audience View, BCA’s ticketing software, to be able to build and/or edit events and packages in all configurations, create queries and reports, create auto marketing/communications messages and work with fundraising components.

• Build and maintain website content and registration for BCA programs and Partner Organizations.

• Check in workshop participants using BCA waivers and direct them to the appropriate Arts District studio.

• Register and sell tickets to walk-in participants for workshops/events using Audience View software.

• Process payments, refunds, and exchanges in the form of cash/check/credit card/gift certificates.

Part-Time Staff Management

• Support Patron Services Manager in the hiring process (recruitment and onboarding) for part-time Patron Services Specialists in accordance with BCA hiring protocol and best practices.

• Train part-time Patron Services Specialists on an ongoing basis (new hires and review sessions) and regularly update Patron Services handbook to account for changes in procedure and staffing.

• Provide input to Patron Services Manager for the annual Patron Services Specialist.

• Schedule part-time Patron Services Specialists to support all current and future programming needs.

• Participate in all semesterly info sessions between Patron Services Team and Programs Team.

Qualifications & Skills

Basic Qualifications

● Proficiency in Microsoft Office, Outlook, and content management systems a must along with the ability to learn additional team-management software and online reservation systems

● Guest-service oriented, with an ability to treat each guest as an individual

● Highly motivated team player, and able to manage multiple demands

● Creative problem-solver with positive attitude

● Proven outstanding organizational skills

● Excellent verbal and written communication

● Flexible schedule; core hours are generally Tuesday through Saturday from 10 AM – 5 PM. May include evenings and Sundays.

Preferred Qualifications

● Proficiency in Spanish strongly preferred

● Customer service experience

● Knowledge of contemporary art and processes used in various art studios

● Experience working with artists and teaching artists
